About the role

The Volunteer Project Coordinator will play a vital role in supporting Office of Displaced Designers [ODD] in its mission to provide support to displaced and marginalised communities. The role involves coordinating project activities, attending virtual meetings, maintaining project files, and assisting in event planning and research when required. The Volunteer Project Coordinator will work closely with the ODD team to support the development and execution of impactful projects, including international workshops and internal organisational initiatives. Key Responsibilities:

Project Coordination:

  • Support the development of project management processes and documentation.

  • Assist in coordinating project activities and timelines.

  • Collaborate with project team members to ensure tasks are completed on schedule.

  • Monitor project progress and provide updates to the team as needed.

Event Planning:

  • Support the planning and execution of events, workshops, and other project-related activities.

  • Assist in logistical arrangements, e.g. venue booking, catering, and equipment setup.

  • Coordinate with vendors, partners, and participants to ensure a seamless event experience.

  • Support the processing of participant applications.

Research:

  • Undertake desk research relevant to the development of ODD’s initiatives.

  • If required, coordinate and conduct direct inquiries to gather insights, perspectives, and first-hand experiences relevant to ODD's initiatives.

  • Document and summarise findings from direct inquiries in a clear and organised manner.

Communication:

  • Facilitate communication between project team members, ensuring everyone is informed and aligned.

  • Contribute to the development of project-related communication materials as needed.

  • Occasionally participate in project meetings, both internal and external, and take accurate and comprehensive minutes for distribution.

  • Maintain organised project files, including documents, spreadsheets, and other relevant materials.

  • Ensure all project-related documents are up-to-date and accessible to team members.

  • Provide regular updates on progress, challenges and insights to the supervising director.

About You:

  • Passionate about social justice, human rights, and supporting displaced and marginalised communities.

  • Strong organisational skills with the ability to multitask and prioritise tasks effectively.

  • Detail-oriented with a high level of accuracy in documentation and file management.

  • Proficient in English, both written and verbal, with the ability to effectively communicate with diverse stakeholders. A second language e.g. Arabic or Turkish is desirable.

  • Proficient in using digital tools and technology for research, documentation, and communication.

  • Ability to work independently with minimal supervision and collaboratively within a team environment.

  • Previous experience in social science, international development, humanitarian aid, architecture or planning is desirable.

  • Previous experience in project coordination, event planning, or administrative support is beneficial.
